What information do we use?
Depending on your enquiry, we process your name, company name, email address, phone number and the information you share. For a journey, rental or shipment, this may include pickup and delivery addresses, dates and times, passenger or luggage information, a flight number, rental period, driving eligibility or cargo details. An order also involves the necessary contract, invoice and payment information.
We usually receive this information from you. A customer may also provide the contact or address details of a passenger, contact person or recipient. Only share information needed for the enquiry. Do not send a copy of an identity document or other sensitive documents with an initial enquiry.
Why do we process your information?
- Enquiries and orders: to prepare a quotation, make arrangements and perform a contract with you.
- Business contact and planning: for our legitimate interest in answering questions and organising transport, including where you are a contact person or recipient rather than a party to the contract.
- Administration: to meet legal obligations, including keeping relevant tax records.
- Security and disputes: for our legitimate interest in preventing misuse and handling complaints or legal claims, taking your privacy interests into account.
If we ask for your consent for a separate purpose, you may withdraw it at any time. This does not affect the lawfulness of processing before withdrawal. Without the necessary contact and order details, we may be unable to handle your enquiry or provide the service.
Forms, cookies and external services
The enquiry form prepares an email draft in your browser. You send it yourself using your own email application. The form does not send anything automatically or store an enquiry on a website server. W Transport receives the information after you send the message to us. The copy button places the enquiry on your device’s clipboard.
This website is configured without advertising pixels or analytics scripts. Cloudflare provides hosting and security and may process technical information for those purposes, such as your IP address, visit time and request or browser details. Necessary technical cookies may be used for security. Maps and social media are not loaded automatically.
Opening a WhatsApp or Google Maps link takes you to an external service. The privacy information provided by WhatsApp and Google also applies when you use those services. Cloudflare explains its processing in its privacy policy.
Who receives information?
We share necessary information with parties helping to carry out an order or operate the business, such as transport and logistics partners, hosting and communication providers, and administrative service providers. Relevant information may be provided to an insurer or legal adviser following an incident or dispute. Disclosure to a public authority requires a lawful basis.
International transport or the use of international service providers may involve processing outside the European Economic Area. The GDPR rules on international transfers apply, including an adequacy decision or appropriate safeguards where required. Cloudflare describes its international safeguards, including EU Standard Contractual Clauses, in its data processing terms. You may ask us which recipients and safeguards apply to your information.
How long do we keep information?
- Enquiries and correspondence: for as long as needed to answer and follow up your enquiry. If no order follows and there is no need for further follow-up or another valid basis, the information is deleted.
- Order information: for as long as needed to carry out and settle the order. Relevant information may be needed longer for legal obligations or to handle a complaint or legal claim.
- Core tax records: generally seven years under the statutory retention requirement, or longer where the law requires it.
- Technical information: for as long as needed to deliver and secure the service and investigate misuse, in line with the relevant provider’s applicable retention periods.
Your rights and questions
You may request access, correction, deletion or restriction of the processing of your personal information. Where the GDPR provides these rights, you may request data portability or object to processing based on a legitimate interest. We may need to retain certain information to meet a legal obligation.
Send your request to info@wtransport.nl. We normally respond within one month. For a complex request, the deadline may be extended by up to two further months; we will tell you within the first month. We may request additional information to verify your identity appropriately.
If you are not satisfied with our response, you may complain to the Dutch Autoriteit Persoonsgegevens or another competent data protection authority. Enquiries through this website do not automatically create a booking or another decision with legal effects.
Security and changes
We take appropriate technical and organisational measures to protect personal information and limit access to what is needed for the work. This privacy notice may change when our services or processing change. The date at the top identifies the latest version.
